Enrollment Procedures
New Clients
To begin services at Vinceremos Therapeutic Horsemanship Center, new clients must complete enrollment information, including a physician’s statement and liability information. Once received, our programming team will review the application, determine the most appropriate program(s), and contact the client or guardian to discuss options and availability.
Some programs may require additional documentation. While we do our best to accommodate preferences, placement in a current semester is subject to availability. If the desired semester is full, the client will be added to our waiting list.
Insurance Authorization
Vinceremos is an outpatient provider with CMS/Sunshine Health. Prior authorization is required before starting services. This request must be completed by the client's primary care physician and submitted directly to the health plan for review and determination of coverage.
Financial Aid
Applications for financial aid are accepted each year prior to the Fall Semester or during a client’s initial enrollment. Applications are submitted to the scholarship committee for review and determination.
Please note: Financial aid is not available for the Summer Semester.

Program-Specific Details
Adaptive Riding / Hippotherapy
Fun and engaging activities take place weekly in the barn, arena, or classroom.
- Clients should arrive at least 10 minutes before the scheduled lesson time.
- Clients arriving more than 15 minutes late may forfeit their lesson at the instructor’s discretion.
- Missing two lessons without prior notice (no-call/no-show) will result in removal from the schedule.
Please notify the office at least 24 hours in advance if you need to cancel.
Billing Information:
- Adaptive Riding: $70.00 per appointment
- Hippotherapy: $80.00 per appointment
Invoices are sent prior to each semester for all appointments scheduled in that semester. Full payment is due before the first class, regardless of attendance. Clients with outstanding balances will not be permitted to participate.
Missed Lessons and Make-Ups:
Enrollment at Vinceremos is semester-based. When you enroll, we reserve your lesson time, instructor, horse, and volunteer team for the full semester. Because that spot can't be filled on short notice, we don't offer make-up lessons, refunds, or credits for missed lessons. That includes cancellations made with advance notice.
We still ask for at least 24 hours' notice when you can't attend so we can adjust staffing and volunteer schedules.
If Vinceremos cancels a lesson because of weather, we'll offer a make-up lesson when the schedule allows. If no make-up time is available, the canceled lesson will be credited toward the next semester.
Equine-Assisted Psychotherapy
Once enrollment is complete, a licensed mental health professional will contact the client to create a treatment plan and schedule appointments.
Billing Information:
-
Individual Appointment: $150 per appointment (45 minutes)
-
No-Show Policy: EAP sessions require the coordinated scheduling of a licensed therapist, an equine specialist, and specific horses. Consequently, a $50 fee will be charged for any "no-show" or cancellation made with less than 24 hours' notice
Invoices are issued weekly, and a valid credit card must be kept on file. Cards are charged weekly after sessions are completed. To avoid a late cancellation fee, at least 24 hours' notice is required; missed appointments or cancellations with less than 24 hours' notice will be charged a $50.00 fee.
General Policies and Procedures
Client Safety
Safety is our top priority.
- All clients must wear closed-toe shoes.
- For mounted activities, clients must wear a helmet that meets ASTM-SEI standards.
- Vinceremos can provide helmets if needed.
Helmets must be less than five (5) years old from the date of manufacture.
Weather Policy
If lightning is present, mounted lessons will shift to an unmounted equine learning curriculum held indoors.
Appointments will be canceled and clients notified via text if any of the following occur:
- Palm Beach County Schools are closed
- A tornado warning, severe storm, or hurricane warning is in effect for Loxahatchee Groves
Note: Vinceremos may resume operations earlier than the school district, depending on conditions. Clients will be notified accordingly.
Lessons canceled by Vinceremos due to weather will be made up when the schedule allows or credited toward the next semester. See Missed Lessons and Make-Ups for details.
Conduct of Code
Any behavior deemed harmful or dangerous to horses, volunteers, staff, or other clients will result in immediate suspension of services.
Sunshine Health Insurance Policy
Vinceremos makes every effort to notify clients of upcoming referral expirations or when units are close to being used up. However, it is ultimately the client’s responsibility to track their insurance status.
As a courtesy, clients may attend up to three sessions beyond their approved authorization if a renewal request has been submitted to the health plan and a copy provided to Vinceremos. After this grace period, clients are responsible for full payment of services.
Clients using Sunshine Health Insurance will be removed from the schedule if either of the following occurs:
- Miss two appointments without notice.
- Cancel three appointments with notice, within the same semester.
Clients wishing to resume services after removal will be placed on the waiting list.
